Manage Users in Overcast

Overcast User Types: Administrators, Team Members and Collaborators

Team member is a user within your company – the ones who do all the work. While clients come and go, a Team Member is likely to be a fixed user of Overcast. Unlike Collaborators, they can access Overcast’s rich feature set, such as accessing your company’s archive of videos, creating projects and editing video.

Collaborator is usually a client – they can view videos sent for client review, leave timestamped comments and approve videos (or not.) However, they cannot work on videos directly.

Administrator is a top-level user who can do everything a Team Member can, but who has extra system-wide powers. They can, among other things, see all projects, add and remove Team Members and make system-wide changes.

Add A New Admin or Team Member

1. Navigate to the Users page via the menu, or by visiting yoursite.overcasthq.com/users

2. In the top-right of the page, click the blue Invite New User button

3. A pop-up window will appear for you. Invite the new user by entering their email address

4. Finally, select either Team Member or Account Admin before clicking Invite New User

Adding And Managing Clients

To add a client, first navigate to the Clients Page, either via the Menu or by visiting yoursite.overcasthq.com/clients

In the top-right corner of the Clients Page, click the blue Create new client button.

You will be asked to enter the details of the client you intend to add. Enter their details on this page and click “Create New Client” to complete.

Adding And Managing Collaborators

1. Before a collaborator can be added to a project, the project must exist. See this page for Creating A New Project.

2. When your project is created, navigate to the Projects Page via the menu, or by visiting yoursite.overcasthq.com/projects

3. This Projects Page displays a list of your projects – click the blue Invite Collaborator button beside the relevant project to Add A New Collaborator

4. A pop-up window will appear for you. Invite the collaborator to the project by typing their email address, and choosing whether they can upload new files, download files, or both.

5. Finally, when you have entered their email address and selected their download/upload permissions, click the blue Invite Collaborator button.

Search For A Client

1. To search for a Client, first navigate to the Clients Page, either via the Menu or by visiting yoursite.overcasthq.com/clients

2. In the top-left part of the page, you’ll see a search box titled “Keywords”.

3. Enter the name of the Client into the Keywords search box.

4. The list of Clients in the main part of the page will update live and display the Client you’re searching for.

Search For A Collaborator

1. To search for a Collaborator, first navigate to the Projects Page, either via the Menu or by visiting yoursite.overcasthq.com/projects

2. In the top-left part of the page, you’ll see a search box titled “Keywords”.

3. Enter the name of the Collaborator into the Keywords search box.

4. The list of Collaborators in the main part of the page will update live and display the Collaborator you’re searching for.

Search For A User

1. Navigate to the Users page via the menu, or by visiting yoursite.overcasthq.com/users

2. In the top-left part of the page, you’ll see a search box titled “Keywords”.

3. Enter the name of the User into the Keywords search box.

4. The list of Users in the main part of the page will update live and display the User you’re searching for.

Update Your User Profile

1. Click your avatar in the top-right corner of the screen. In the menu that appears, click My Profile

2. You will be taken to your user profile. In the bar at the top, Edit. Here you can edit the details of your User Profile.

Change Your Avatar Image

1. Click your avatar in the top-right corner of the screen. In the menu that appears, click My Profile

2. You will be taken to your user profile. Near the bottom-left of this screen, click the blue Change Image button to upload a new profile image.

Manage Video And Other Assets

Download A File

1. To download a file, first go to the Asset Page of the file you wish to download.

2. On this asset page, look to the vertical icon panel at the leftmost side of screen. Click the 3rd icon (down arrow) on this panel.

3. On the right-hand side of the screen, select which format you would like to download in and click Download Here

Download comments

1. To download the comments made on an asset, first go to the Asset Page of the file you wish to download.

2. On this asset page, look to the vertical icon panel at the leftmost side of screen. Click the 1st icon (Comments)

3. On the right-hand side of the screen, above the text box to add a new comment, click the “Download comments” button.

4. Choose the filename you’d like the file to be called

5. Choose the file type you’d like to download the comments in.

6. Choose if you’d like to include the Approvals and Rejections comments.

7. Click “Download

Upload Your Files (Video And Other Assets)

1. In the menu bar at the top of the page, the green “Upload Files” button is visible – click it to begin uploading your files.

2. A pop-up window will appear. Here you can select which files to upload from your computer, which projects they belong in and what keywords you’d like to associate with them.

3. When finished, click Upload Files.

Search Your Assets

You can search through your assets from any page by using the Search Bar at the top of the screen. To search, simply type the name of the asset or one of its related keywords and Overcast will show you the relevant results.

White Label Branding

You can white label an account for your client by changing the logo in the top left of the screen. Here’s how:

1. Navigate to My Account from the dropdown menu by clicking on your image in the top-right corner of the screen.

2. You should be on the My Account page. Here, click Edit in the bar near the top of the screen.

3. At the bottom of this page, look for the Account Logo area, and click the blue Upload Image button.

4. Here you can choose your client’s or company’s logo. Select and upload to set as the logo for this Overcast account.

Working On Videos

Move or Copy a Video or Asset

1. To Move a video or asset to a different project, visit the page for that asset.

2. From this page, select the Move Icon from the panel on the left hand side of the page. It’s second from the bottom, and looks like four arrows.

3. In the pop-up window that appears, select which Project you’d like to move the asset to and click the green Move Asset button.

1. To Copy a video or asset to a different project, visit the page for that asset.

2. From this page, select the Copy Icon from the panel on the left hand side of the page. It’s third from the bottom, and looks like two sheets of paper.

3. In the pop-up window that appears, select which Project you’d like to copy the asset to and click the green Copy Asset button.

Create A Clip From A Video File

1. To Create A Clip of a video file, first navigate to that video’s Asset Page.

2. In the vertical icon menu to the left of the screen, click the Clip Icon – fifth from the bottom and looks like a video reel.

3. In the pop-up that appears, you can create a subclip of a start-point and an end-point either by entering the times manually, or by dragging the slider at the bottom of the video player.

4. The video player will show a preview of your clip. When satisfied, you can create a new clip by clicking the green Cut clip button.

Change a Video’s Thumbnail

A video’s thumbnail is the image that displays for a video in the Assets Page. To change a video’s thumbnail:

1. Navigate to that asset’s page.

2. In the vertical icon menu on the left of the page, click the Change Thumbnail button – sixth from the bottom, and looks like a picture.

3. Here you can select either a frame from the video, or upload an image from your computer to use as the video’s thumbnail. Click the Green Button to apply the new thumbnail.

Add Metadata to a File

A file’s metadata can be manipulated or added to by navigating to the Asset. From here:

1. Click the Metadata Icon from the vertical icon menu to the left of the page – second from the top, and is a lowercase ‘i’.

2. In the panel to the right-hand side of this page, you can see, amend or add to the file’s metadata.

Delete A Video

To delete an asset, navigate to that asset’s page. From here:

1. Click the Trash Can Icon in the vertical icon menu in the left-hand side of the page – bottom of the panel, looks like a trash can.

2. In the pop-up that appears, confirm you wish to delete the asset by clicking the green Yes, Delete Asset button.
